We are committed to preserving the privacy of all delegates, members and visitors attending the 98th EOS Congress, and we understand that they entrust important non-public personal data (as defined in the General Data Protect Regulation – GDPR, regulation 2016/679 of the European Parliament and Council of the 27 April 2016).

This privacy statement provides information about the personal information that the EOS 2023 Congress organisers (TFI Lodestar Ltd) henceforth known as the “EOS 2023 organisers”) collect and share, and the way that they use this information.  

TFI Lodestar are a full-service events agency, running international and national congresses, events and meetings for a wide range of clients.

Your rights in respect of your data

right to be informed about the personal non-public data we collect and how we process it – this policy aims at providing you with this information;
right to access – you have the right to obtain confirmation that your personal non-public data is being processed and have the ability to access it;

Personal Information Collection 

The EOS 2023 organisers may collect and use the following kinds of personal information for activities relating to the Congress and future conferences only: 

information about your use of this website (including pages visited, click-throughs); 
information that you provide using for the purpose of registering for the event (including full name, address, job title). We do not view or store any credit card details;
information that you provide for the purpose of submitting an abstract (including full name, address, job title); 
information that you provide for the congress app to enhance your engagement in and around the event itself.

Please note that we do not collect or view any credit card details.

Using Personal Information 

The EOS 2023 organisers may use your personal information to: 

administer this website; 
enable your access to and use of the congress services; 
supply to you services that you purchase; 
send to you statements and invoices; 
collect payments from you; and 
send you marketing communications relating to the EOS 2023 Congress and future congresses.

Where the EOS 2023 organisers disclose your personal information to its agents or sub-contractors for these purposes, the agent or sub-contractor in question will be obligated to use that personal information in accordance with the terms of this privacy statement. 

In addition to the disclosures reasonably necessary for the purposes identified elsewhere above, the EOS 2023 organisers may disclose your personal information to the extent that it is required to do so by law, in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend its legal rights.

The EOS 2023 organisers will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information.

We will treat all your information in strict confidence, and we will endeavour to take all reasonable steps to keep your personal information secure once it has been transferred to our systems.  However, the Internet is not a secure medium and we cannot guarantee the security of any data you disclose online. You accept the inherent security risks of providing information and dealing online over the Internet and will not hold us responsible for any breach of security unless this is due to our negligence or wilful default. We will retain your information in accordance with the retention periods in this policy or for as long as the law requires.

Where you have entered your credit/debit card details for payment of your registration on the Website or registration form, we will not store your credit/debit card data.

We maintain physical, electronic, and procedural safeguards to protect personal non-public data.

Data transmitted to us through the contact forms on websites are transmitted in an encrypted form. Transmission of personal data via the internet is made at your own risk.  We attempt to protect your personal data from unauthorized access by third parties by means of precautions such as pseudonymization, data minimization and observing deletion periods. Despite these protective measures, however, we cannot completely rule out unlawful processing by third parties.

All data is stored and will be transferred to servers within the EU / UK / US. European data transferred to servers located in the United States is protected in compliance with the Privacy Shield Principles.
